Appointment Management

Book, move, or cancel an appointment on the call

The patient hears real openings, picks one, and it is in your schedule before they hang up.

Live openings
Read from your schedule, not a copy
Confirmed first
Nothing is written until the patient agrees

Booking, rescheduling, and cancellation

What Changes

How it goes without automation

  • Booking calls are the bulk of the morning queue, and every one occupies the desk.
  • Callers who reach voicemail leave a number and wait to be called back.
  • Cancellations arrive by voicemail and get processed hours later, if at all.
  • Double bookings happen when two people work the same schedule at once.

How it goes with Joud Health

  • Openings are read live from your schedule, so what the patient hears is real.
  • The patient confirms out loud before anything is written.
  • Cancellations take effect immediately rather than waiting to be transcribed.
  • If a slot is taken mid-call, it offers the next one instead of failing.

Step By Step

Patient
The patient says what they need
A new appointment, a change to one they have, or a cancellation.
Trigger
Joud Health
They are matched to their chart
Identified against your records before anything is read back. A miss is recovered on the call rather than ending it, and an ambiguous match is refused rather than guessed.
Seconds
Joud Health
Real openings are offered
Availability is read from your live schedule for the right provider and visit type. Walk-in requests are routed to walk-in slots rather than being offered a booking.

Patient
They choose, and confirm
Nothing is written until the patient says yes. A cancellation waits for an explicit confirmation too, so nothing is removed on a maybe.

Written to the schedule
The booking or cancellation lands in the EMR. If the slot went while they were deciding, it offers the next one rather than failing the call.

What It Hands Off To

A point solution finishes its own job and stops. These workflows run on one platform and one EMR connection, so the end of one is the start of the next.

  • Waitlist

A cancellation taken here frees a slot, and the waitlist starts filling it immediately.

  • Confirmations And Reminders

Every booking joins the confirmation and reminder schedule without anyone adding it.

  • Inbound Calls

Booking is what most inbound calls turn out to be, handled by the same agent on the same call.

Bookings, reschedules, and cancellations

Questions

What stops it from double booking?
Availability is read from your live schedule rather than a cached copy, and the write is what confirms the slot. If somebody takes it while the patient is deciding, the booking fails safely and the next opening is offered on the same call.
Will it book something the patient did not agree to?
No. The write is gated on an explicit confirmation, and cancellations wait for a clear yes as well. It is built not to confirm anything it cannot actually verify.
What if it cannot identify the caller?
It tries to recover on the call by asking for what is missing. If the details still match more than one patient, it refuses rather than guessing, because booking the wrong chart is worse than asking the patient to hold for staff.
