Appointment Management

Route to the right specialist, and check they should be seen at all

The referral is checked before a slot is offered, and routing follows each physician’s own rules.

Referral first
A valid referral before a slot is offered
Per physician
Each doctor’s own rules, not one clinic default
Not guessed
Ambiguity is refused, never resolved by chance

What Changes

How it goes without automation

  • Patients are booked without a valid referral, and the visit is wasted on the day.
  • Each physician runs their day differently, and only long-serving staff know how.
  • Two doctors share a surname, and the wrong one gets booked.
  • Requests that should go to a care team instead get self-booked into a clinical slot.

How it goes with Joud Health

  • The referral is checked before an appointment is offered, not discovered on the day.
  • Each physician’s own scheduling and call-handling rules are applied automatically.
  • An ambiguous doctor match is refused rather than resolved by picking one.
  • Requests a doctor wants handled by their team are routed there instead of self-booked.

Step By Step

Patient
A patient asks to be seen
A referred patient booking a first visit, or an existing one arranging a follow-up.
Trigger
Joud Health
The referral is checked
A specialist consult needs a referral from the patient’s family physician, and it has to cover the reason they are calling about. That is established before any appointment is offered, so a patient without one is not given a slot to lose.
Referral valid
Seconds
Joud Health
The right physician is resolved
Matched to the specific doctor, not just the practice. Where two share a name and the request does not distinguish them, it refuses rather than picking one.
Seconds
Joud Health
That physician’s rules are applied
Each doctor’s scheduling preferences and call-handling rules are read and honoured. A doctor who wants certain requests arranged by their care team gets that, rather than having them self-booked.
On the call
Joud Health
Booked or routed, then recorded
Either an appointment that fits the rules, or a request delivered to the care team who arrange it. Both are written down.

What It Hands Off To

A point solution finishes its own job and stops. These workflows run on one platform and one EMR connection, so the end of one is the start of the next.

  • Referrals

Almost every specialist first visit starts as a referral, and this check runs against that same record. The referral workflow is what turns it into a booked appointment.

  • Fax And Referral Triage

Referrals from family physicians usually arrive by fax. That is where they are digitized, assigned and accepted, and nothing is bookable here until they clear it.

  • Waitlist

Specialty waits are the longest, so a freed slot matters more here than anywhere else on the platform.

How It Is Set Up

Referral check
Valid referral, covering the reason, before a slot is offered
Physician rules
Per doctor, read at the time of the request
Ambiguous doctors
Refused rather than resolved by guessing
Care team routing
Per physician, for request types they prefer to arrange
Coverage
Absences and stand-ins handled per doctor
EMR write-back
Bookings and routed requests

Questions

How is this different from the primary care setup?
Two things specialty practices have that primary care mostly does not. A referral from the patient’s family physician genuinely gates the appointment, so it is checked before a slot is offered rather than discovered at reception on the day. And per-physician rules matter more, because in a specialty practice the difference between two doctors is often the difference between a useful visit and a wasted one.
What happens when two doctors share a surname?
It refuses to choose. If the request does not distinguish them, it asks or hands off rather than booking one and hoping. Booking the wrong specialist costs the patient a wait and the practice a slot.
Can a physician keep certain requests off self-booking?
Yes. A doctor can have request types routed to their care team to arrange rather than exposed for booking, and that setting is per physician. Doctors who do not opt in are unaffected.
